Cold Email Follow-Up Sequence Template (5-Step)

The first cold email rarely books the meeting. Our data across millions of emails shows that 80% of positive replies come from follow-up emails 2 through 5, not the initial outreach. Yet most salespeople send one email and give up.

If you are not following up, you are leaving meetings on the table. Here is the exact 5-step follow-up sequence template we use at Prospect Engine for our clients.

Why Follow-Ups Are Non-Negotiable

The numbers tell the story:

  • 44% of salespeople give up after one follow-up (Brevet Group)
  • Email 1 generates about 18% of total positive replies
  • Emails 2-3 generate about 45% of total positive replies
  • Emails 4-5 generate about 37% of total positive replies

Your prospects are busy. They are not ignoring you out of spite -- they genuinely did not see your email, got distracted, or meant to reply but forgot. Following up is not pestering; it is professional persistence.

The 5-Step Follow-Up Framework

Timing Overview

  • Email 1: Initial outreach (Day 1)
  • Email 2: First follow-up (Day 3)
  • Email 3: Second follow-up (Day 7)
  • Email 4: Third follow-up (Day 14)
  • Email 5: Breakup email (Day 21)

Total sequence length: 21 days. This gives you multiple touchpoints without being aggressive.

Email 1: The Initial Outreach (Day 1)

Your first email establishes relevance and makes a compelling case for why the prospect should respond. Use any of the templates from our B2B cold email templates guide, but remember:

  • Keep it under 100 words
  • Personalize the opening line
  • Focus on their problem, not your product
  • End with one clear, low-friction CTA

Example:

Subject: Quick question, [First Name]

Hi [First Name],

I noticed [Company] is [relevant observation]. Most [their role] I talk to in [industry] mention that [specific challenge] is a top priority right now.

We recently helped [similar company] [achieve specific result] in [timeframe].

Worth a 15-minute chat to see if we could do the same for [Company]?

[Your name]

Email 2: The Gentle Nudge (Day 3)

The first follow-up should be short and casual. Do not repeat your entire pitch -- they already have it. The goal is simply to bump your email to the top of their inbox.

Template:

Subject: RE: [original subject line]

Hi [First Name],

Just floating this to the top of your inbox. I know things get buried.

Would love to share how we helped [similar company] with [their challenge]. Any interest in a quick chat?

[Your name]

Why this works:

  • It is extremely short (under 40 words)
  • The tone is casual and understanding ("I know things get buried")
  • It references the original value proposition without repeating it
  • Same subject line with RE: prefix to create a thread

Pro Tip: Keep follow-up emails in the same thread as your original email. This creates a thread that looks like an ongoing conversation, not a new cold email.

Email 3: The New Angle (Day 7)

If they did not respond to your first approach, try a different angle. This email introduces a new piece of value -- a case study, a specific insight, or a different pain point.

Template:

Subject: RE: [original subject line]

Hi [First Name],

I wanted to share something relevant -- we just published a case study on how [company in their industry] [achieved specific result].

The key insight was [one sentence summary of the most interesting finding].

Thought this might be useful given [Company]'s [relevant context]. Happy to walk you through the full approach if helpful.

[Your name]

Why this works:

  • It offers new value instead of repeating the same pitch
  • Case studies and specific insights feel helpful, not salesy
  • It gives the prospect a reason to engage even if they were not interested in a meeting

Email 4: The Social Proof Push (Day 14)

By email 4, you need to demonstrate momentum and credibility. Use social proof and results to create FOMO.

Template:

Subject: RE: [original subject line]

Hi [First Name],

Wanted to quickly share -- this quarter we have helped [number] companies in [their industry] generate [specific collective result, e.g., "400+ qualified meetings"].

Companies like [name 1], [name 2], and [name 3] are using our approach to [key benefit].

I think [Company] could see similar results given [specific reason]. Worth 15 minutes to explore?

Either way, no hard feelings.

[Your name]

Why this works:

  • Multiple company names create powerful social proof
  • Specific numbers build credibility
  • "Either way, no hard feelings" reduces pressure and actually increases response rates
  • The prospect sees that their competitors or peers are engaged

Email 5: The Breakup Email (Day 21)

The breakup email is often the highest-performing email in the sequence. It works because it creates urgency through scarcity -- you are signaling that you are about to stop reaching out.

Template:

Subject: Should I close your file?

Hi [First Name],

I have reached out a few times and have not heard back, so I will assume the timing is not right.

I will close out your file on my end. If things change and [specific challenge] becomes a priority, feel free to reach out -- I am always happy to help.

Wishing you and the [Company] team all the best.

[Your name]

Why this works:

  • "Close your file" creates a sense of finality that prompts action
  • It is respectful and professional -- not guilt-tripping or passive-aggressive
  • It leaves the door open for future conversation
  • The breakup email typically generates 2-3x the reply rate of a standard follow-up

Advanced Follow-Up Strategies

Multi-Channel Follow-Ups

Do not limit your follow-ups to email. Layer in other channels:

  • Day 1: Send initial cold email
  • Day 2: Send LinkedIn connection request with a personalized note
  • Day 3: Email follow-up 1
  • Day 5: Engage with their LinkedIn content (like or comment)
  • Day 7: Email follow-up 2
  • Day 10: LinkedIn message referencing your emails
  • Day 14: Email follow-up 3
  • Day 21: Breakup email

Multi-channel sequences consistently deliver 30-50% higher response rates than email-only sequences.

Conditional Follow-Ups

Use engagement data to customize follow-ups:

  • If they opened but did not reply: They saw your email but were not compelled enough. Change your angle or offer.
  • If they clicked a link: They are interested. Follow up with more detail on what they clicked.
  • If they did not open: Your subject line is not working. Change it completely for the next follow-up.
  • If they replied negatively: Respond gracefully, ask if there is a better time, and add them to a long-term nurture sequence.

A/B Testing Follow-Ups

Test these variables in your follow-up sequence:

  • Timing: Does 3 days or 5 days between emails work better?
  • Length: Short nudges vs. new value emails
  • Tone: Professional vs. casual
  • CTA: Meeting request vs. permission to send more info
  • Subject line: New subject vs. RE: thread

Common Follow-Up Mistakes

  • Repeating the exact same message -- Each email must add new value or a new angle
  • Being apologetic -- Never say "Sorry to bother you." You are offering value, not begging.
  • Following up too aggressively -- Daily follow-ups feel like harassment. Space them out.
  • No CTA -- Every follow-up needs a clear ask
  • Giving up too soon -- Five touchpoints is the minimum, not the maximum

Conclusion

A structured cold email follow-up sequence is the difference between campaigns that generate a trickle of replies and campaigns that consistently book meetings. Use this 5-step template as your foundation, then test and iterate based on your data.
